Administrative Assistant / Data Entry Specialist (Remote)

 

We are hiring a reliable and organized Administrative Assistant to provide remote support to our team. This part time role focuses on clerical coordination, record keeping, and communication management, and is ideal for someone who works well on their own, communicates clearly, and wants to grow with a fast expanding organization.

 

Core Responsibilities:

Maintain and organize electronic files, documents, and records, ensuring easy retrieval and version control.

Draft, proofread, and format routine correspondence, emails, and simple reports.

Monitor and triage incoming messages, route items to the proper person, and follow up on outstanding requests.

Manage calendars, schedule meetings, prepare meeting materials, and track action items.

Gather information from online resources and summarize relevant findings for the team.

Enter, update, and reconcile data in spreadsheets, databases, and CRM systems.

Identify and remove duplicate or inaccurate entries, and merge information from multiple sources when required.

Request missing documentation or clarification, and pursue timely completion of incomplete records.

Produce basic status reports and weekly progress summaries for management.

Handle limited bookkeeping support tasks when needed, such as logging expenses or tracking invoices.

Maintain strict confidentiality when working with sensitive information.

 

Minimum Qualifications:

High school diploma or GED required.

Prior experience in administrative or office support roles is preferred.

Proficient with Microsoft Office and Google Workspace, especially Word and Excel.

Comfortable learning and using CRM platforms and cloud based tools.

Strong written and verbal English communication skills.

Reliable internet connection and a quiet remote workspace.

Excellent attention to detail and dependable typing accuracy.

 

Preferred Skills:

Basic understanding of bookkeeping or accounting concepts.

Experience working remotely and managing priorities independently.

Ability to adapt quickly to new software and changing priorities.
